How to Connect a Website Form to Your CRM (Without Copying by Hand)

By Wexler Systems · October 2026 · 5 min read

The goal: a customer fills in a form on your site, and within seconds there is a new lead in the CRM, a WhatsApp alert on your phone and a confirmation email in their inbox. Nobody copied anything. This is what it looks like live.

Why it matters

The statistics are simple: a lead answered within 5 minutes closes several times more often than one answered after an hour. When the form sends an email that "at some point" someone opens and copies into Excel, you lose customers. When it goes straight into the system with an alert, you reply immediately.

Three ways to connect

1. The simple way: an automation tool (Make / Zapier / n8n)

The form sends its data to an automation tool, and the tool adds a row in Google Sheets, opens a lead in Monday or your CRM, and sends an alert. Right for most small businesses.

  • Pros: quick to set up, no code, easy to change.
  • Cons: a monthly cost above a certain volume, dependence on an external service.

2. The direct way: code against the system's API

A small server-side function (a Netlify Function, for example) receives the form and writes directly to the CRM's API. No middleman.

  • Pros: no monthly cost, fast, full control.
  • Cons: needs someone who writes and maintains code.

3. The built-in way: the CRM's own form

Many systems offer their own embeddable form. The simplest option, but the form looks "foreign" and is not always mobile-friendly.

What to define in every case

  1. Which fields go where. Name, phone, source (which page, which campaign).
  2. Duplicate handling. If the same phone number inquires twice, update the existing lead instead of opening a new one.
  3. Who gets alerted and how. WhatsApp to the owner, email to the office, or both.
  4. What the customer receives. An email or WhatsApp confirmation: "Got it, we will reply within X".
  5. What happens when something breaks. An alert to you or to whoever built it, so inquiries do not vanish silently.

Example: an advisory office

For a mortgage advisory office I connected the website form directly to the office CRM: every inquiry opens as a lead with source "website", the advisor gets a WhatsApp, and the client gets a link to a portal where they upload documents. The advisor never touches Excel again.

Frequently asked questions

How do I connect a form to Google Sheets?

The simple way: an automation tool like Make or Zapier that listens to the form and adds a row to the sheet. The direct way: a small server-side function that writes to the sheet through its API.

Can I get a WhatsApp alert for every inquiry?

Yes. After the inquiry is captured, the same automation sends a WhatsApp message through the WhatsApp API or an authorized provider.
