From manual Excel to an automatic CRM: Mortgage & Finance House
Shlomo Wexler's mortgage advisory office. The problem: every inquiry needed manual copying, and clients called to ask "what is happening with my file". The solution: a website that talks to the CRM, and a client portal.
The problem
A mortgage advisory office receives inquiries from several channels: website form, WhatsApp, phone, referrals. Every inquiry had to be copied by hand into the office system, and along the way details got lost or waited until the next day.
Once a file is opened, the client needs to send documents: payslips, bank statements, ID. These arrived on WhatsApp, by email, sometimes as a blurry photo, and someone had to collect, file and remind the client what was still missing. And the clients, who could not see what was happening, called.
What we built
A full website for the office, with mortgage calculators, a guide to mortgage tracks, articles and contact forms, optimized for phones and content filters.
A direct CRM integration. Every inquiry from the site opens automatically as a lead in the office system, with source "website" and all the details. The advisor gets an alert. Nobody copies anything.
A client portal. After the file is opened, the client receives a link to their own area: they see the file status, upload documents directly (with a list of what is missing), and sign forms digitally. Every uploaded document is filed automatically in the right case.
How it works behind the scenes
- The website form sends the data to a server-side function (no middlemen).
- The function opens a lead in the CRM through its API and alerts the advisor.
- The client receives a confirmation email with a link to the portal.
- Uploaded documents are stored securely and linked to the case in the CRM.
- A status change in the CRM updates what the client sees, and sends them a message.
The result
- Zero manual copying of inquiries.
- The client sees for themselves where the file stands, and uploads documents without being reminded.
- The office receives organized files, with every document in one place.
The site is live. You can see the calculators and the form structure.
